Overview
The Schedule view is the time-by-time picture of the Meeting Program. Where Tables is organised by table, the Schedule view is organised by participant — each row is a person, and each column is a slot. Organisers use Schedule to see one person's day end-to-end and to fix issues by moving or creating meetings.
This page covers:
-
The Schedule view itself.
-
Filters and search on Schedule.
-
The Create Meeting button and pop-up (also available from the Tables view).
Opening the Schedule
In the Admin Panel, open the Meeting Program and select the Schedule tab. Pick a day from the day selector. The grid loads with one row per participant and one cell per slot.
Reading the Schedule
Each cell is one participant × one slot:
-
Empty cell — the participant is free in that slot and available to be booked.
-
Cell with a meeting — shows the counterpart and the meeting status. Click to open the meeting card and act on it (cancel, move, edit).
-
Blocked cell — the participant has marked themselves unavailable, is in a different program, or is otherwise not bookable.
Filters and search
The filters bar narrows the participants shown in the rows. Available filters typically include:
-
Role — Buyer / Seller / Participant, as defined by the program.
-
Company / category — limit to participants from a specific company or category, where configured.
-
Status — for example, show only participants who have at least one confirmed meeting on the day, or only those with no bookings.
The search field matches against participant name, company and email. Search and filters combine — only participants matching both appear in the grid.
Tip: Filter Schedule to participants with no confirmed meetings shortly before the booking window closes. These are the people most worth a nudge, because they have the most empty slots to fill.
Create Meeting button and pop-up
The Create Meeting button is available at the top of both the Schedule and the Tables views. It lets organisers create a meeting directly between two participants, bypassing the request/accept flow.
How it works
-
Click Create Meeting. A pop-up opens.
-
Select the first participant by search (name, company or email).
-
Select the second participant the same way. Roles are checked against the program configuration.
-
Pick a day and a slot. Only slots where both participants are free are offered; clashes are blocked.
-
Optionally choose a table or location.
-
Confirm. The meeting is created with Confirmed status and appears in both participants' agendas straight away.
The pop-up validates against the same rules as the participant-facing booking flow — eligibility, slot availability, and any meeting-cap rules set on the program.
