Overview
Sponsored participants can be granted a guaranteed number of meetings. The Sponsored Meeting Limit logic enforces this allowance on the participant-facing Meeting Program.
How the limit is configured
The organiser sets a sponsored meeting limit per participant type or per individual participant in the admin area. The limit defines the minimum number of meetings the participant is entitled to during the event.
How the limit affects the participant experience
-
The Meeting Program header shows the participant's current meeting count against their sponsored limit, for example "3 / 10 meetings booked".
-
Until the sponsored limit is reached, the participant is prioritised in matching suggestions surfaced to other users.
-
Once the sponsored limit has been reached, the prioritisation is removed and standard matching applies.
Sponsored Meetings limit enforcement
The following clarifications expand on how the sponsored meetings limit interacts with matching and booking, based on the latest functional review of the Meeting Program.
Counting rules
-
Only meetings in the accepted or held state count toward the sponsored allowance.
-
Pending requests (sent but not yet accepted) are excluded from the count.
-
Meetings cancelled before the start time are decremented from the count and the allowance is restored.
Visibility
-
Both the participant and the organiser see the same live counter in the admin panel and on the participant-facing dashboard.
-
The counter is updated in real time when a meeting state changes.
Limit overrides
-
Organisers can manually adjust a participant's sponsored limit at any time during the event.
-
Lowering the limit below the participant's current count does not cancel existing meetings — it simply removes prioritisation going forward.
-
Raising the limit reinstates prioritisation immediately for the next matching generation.
Behaviour on the Matches list
-
Sponsored participants with remaining allowance are flagged with a "Sponsored" badge on their card so that other users can see the value of accepting a request from them.
-
The badge is removed automatically once the sponsored limit is met.
Edge cases
-
Cancelled meetings do not count toward the sponsored limit and restore the participant's prioritisation if appropriate.
-
Declined requests do not count toward the limit.
-
The limit is informational on the participant side — it does not block the participant from booking more meetings beyond the threshold.
