Approval Process - Exhibitor Events
Exhibitor Management
✨ How it works
For Organizers (Admin Panel):
-
Enable Approval Process – Decide if exhibitors must apply before being added.
-
Application Deadlines – Stop new applications after a set date and control when approvals happen.
-
Auto Approval Options – Automatically approve first-come-first-served (up to capacity) or approve all (if unlimited).
-
Quick Management – See pending requests at a glance and approve or reject in one click.
For Exhibitors (Frontend):
-
Event cards show a clear “Submit Request” or “Cancel Request.”
-
Once approved, events are added to their schedule; rejected events are removed.
-
Exhibitors receive instant notifications for approval, rejection, or cancellation.
-
They can track approval status, deadlines, and approved counts in real time.
For Participants:
-
Only approved events are shown in the schedule.
-
If a participant cancels, they’ll be asked to confirm before removal.
-
Conflicts with other events are automatically prevented.
✨ Extra Flexibility:
If you disable approval mid-process, all eligible applications are automatically approved — no manual clean-up needed.
This new flow ensures smoother event scheduling, clearer communication, and less manual work for your team — while giving exhibitors confidence and transparency.
Discounts for Exhibitor Manuals (Equipment section)
Exhibitor Webshop
You can now extend discount codes to Exhibitor Manual items — specifically the Equipment section often used as a webshop.
-
Give exhibitors and their teams the same smooth discount experience participants already enjoy.
-
Control who can use discounts by exhibitor category.
-
Apply discounts to the whole section or specific items.
-
Track usage with an exportable .xls report (including company/team name, email, discount amount, total paid, and date).
Safer Participant Category Changes
Admin
Changing a participant’s category has major implications. To help prevent mistakes, the system now:
-
Shows a clear warning message before saving.
-
Explains the impact on access rights, visibility, matchmaking, and meeting eligibility.
-
Lets you confirm or cancel before finalizing changes.
Participant Category in the Check-in App
Onsite
Gain more visibility during onsite operations:
-
See a participant’s category instantly after scanning their badge.
-
View categories in the users list when adding manually.
-
Check categories in the Scanned list for better tracking.
These improvements give you more control, reduce errors, and provide better insights — all to ensure a smoother event experience for your team and your exhibitors.
