Recommended Exhibitors Variable
Feature Purpose:
Including recommended exhibitors in marketing emails
Working with this feature:
Exhibitors are recommended to the user based on the matchmaking algorithm.
The number of exhibitors to be included can be set up by the organiser as explained in the Recommended Content Variables article.
If we click on the Favorite button in the email and the Exhibitor is already favorited, no actions are applied - we are just directed to the exhibitor’s profile.
There are interaction buttons for setting up a meeting, starting a chat and favorite profile. Here are the settings that can have an influence on these interaction buttons and expected behavior after clicking on the meeting or message button:
Setting | Setting description | Meeting | Messages | Notes |
---|---|---|---|---|
Allow exhibitors to manage the reception of meeting requests and messages | When the “Allow exhibitors to manage the reception of meeting requests and messages” option is enabled in Admin Panel > Registration settings > Exhibitor > Additional settings, exhibitors can control these settings from the front-end under Burger menu > Profile info > Settings > Connection settings (see the screenshot below). Exhibitors can choose whether to accept meetings and messages. | Popup appears with the message ‘This account denied receiving messages’ | Popup appears with the message ‘This account denied receiving meeting requests’ | |
Limits for both daily and total online and onsite meetings, as well as chats, are set in Registration settings > Participant categories > Category settings. | In case of meetings it shows the notification about the limit only if we picked the meeting type for which we reached the limit. | We are directed to the community page and pop up with the message ‘You used your chats initiations limit!’ | If we click on the Meetings button, we need to have pop-up with 2 options for table and regular meetings in case if table meetings are available for the event. Then only after we pick the meeting, we are moved to the respective menu for setting up the meeting. If we reached our limit for any type of the meeting we would have Next step button blocked so we can’t set up a meeting. | |
Permission matrix (interactions are forbidden between the participant (initiator) and exhibitor(receiver) categories) | Control whether specific exhibitor and participant categories can hold meetings, send messages, or view profiles. | Popup with the message ‘You can’t make appointment with this account'. Also the button Next step is blocked on the page of setting up the meeting so we can’t move further | Popup with the message 'You can’t have a chat with this account'. | In cases where the View permission is turned off between a visitor’s and an exhibitor’s categories, exhibitor cards will not appear in the email. If a user, as a participant, receives an email with exhibitor cards and the View permission is turned off afterward, clicking on any of these cards will direct the user to the main/community page of the event. A notification will appear, stating that the user does not have access to this profile. |
Module management (participant) | Remember that modules like “Make a meeting,” “Messages,” and “My favorites” for Participants, Buyers, Team members, and Exhibitors can be toggled off in Event Setup > Module management.
| Interaction button is hidden on the card in the email | Interaction button is hidden on the card in the email | In case of Favorite button, it is also hidden if the module My favorites is turned off for participant |
Disable meetings/messages without team members (Registration settings/Exhibitor/Additional settings) | In Registration settings > Exhibitor > Additional settings, exhibitors without team members cannot schedule meetings or send messages to participants. | Popup with the message 'You can’t make appointment with this account' | Popup with the message 'You can’t have a chat with this account' | |
The possibility for participants (visitors and team members) to choose whether they want to share their personal details and participate in networking. Event organizers may request this due to GDPR requirements. | 'You have chosen to opt out of networking'. | 'You have chosen to opt out of networking'. |
Troubleshooting:
Question:
I am going through the exhibitor list and want to set up a meeting with an exhibitor but get an error message ''You have chosen to opt out of networking'. How can I opt in for networking?
Answer:
Please contact the event organizer so that they can modify the Networking feature or update it in your profile if allowed under Edit Profile.
Question:
I am an exhibiting company and trying to book a meeting with an exhibitor but there is no meeting icon in their profile.
Answer:
The event might be using the ‘disable meetings/messages without team members' function wherein exhibitors without team members cannot schedule meetings or send messages to participants. The other reason could be the restrictions set on the exhibitor category level using the Permissions Matrix. Please check these settings in the event.
