Working with your Technical Account Manager on your ExpoFP Floor plan

What you need to provide to your Technical Account Manager:
A floorplan file:
For events with 250+ booths, a DWG file with outlines of the rooms, halls, as well as restrooms and other elements, and booths as polylines or polygons is required. Booth labels / ID should be on one layer within the polygon to which they are attached. Other numbers or texts should be on a separate layer.
For events with less than 250 booths, pdf, png, dxf or svg are also acceptable file formats
Total number of booths on the floor plan
Event (background) logos in SVG /PNG /JPG formats, in high quality. The image shouldn’t exceed 4096 px.
Event branding guidelines, color scheme and fonts (if any).
Process and process timing:
At least 6 weeks before the platform will be open to visitors, but after all exhibitor stand details have been imported into EP (or pushed to EP via API), the above items should be provided to your TAM
Within 2 weeks of the items being provided, the floor plan will be available for your review
Your Technical Account Manager will confirm your preferred schedule for the 5 rounds of changes and provide you with a file similar to the below where you can submit changes and track the status of each change. The template can be downloaded here.
Please note that for each of the 5 rounds of changes, you must also provide a marked up image of the floor plan showing in red what has changed. These files should also be linked in the header where it says “Clouded Files” so that these are always available for reference. Here is a partial screenshot just as an example - the submitted file should show the entire floor plan. :
Within our platform stand number changes and addition/removal of new/canceled exhibitors will be made via API (if being used for your event) or manually by the TAM using the platform’s import feature.
Once a round of changes is ready to be submitted to ExpoFP, your TAM will submit the above tracking sheet, the marked up floor plan showing the changes that are being submitted and an export of the most up-to-date exhibitor information from our platform (for reference for the ExpoFP team).
Each round of changes takes 2 days. Once a round is complete you will be asked to validate the updates.
Once the final floor plan has been delivered, your TAM has access to the ExpoFP design tool for any last minute emergency changes, and can make the necessary adjustments.
