Curated Meeting Tables

Feature purpose:

Allows organisers to configure tables for pre-arranged table meetings for their event participants

Working with this feature:

To access the Meeting Wizard, please go to Networking and Matchmaking → Meetings

Locations section

  • Click on the Zones section

Additional buttons in Zones management

Click on the three dots (screenshot below) to see additional options:

  • Edit Location - this will return you to the previous screen where you set up time frames, number of tables, etc.

  • Manage Tables - click to manage tables

  • Delete - this will permanently delete a Location/Zone

Manage tables

Click on Manage tables

On this screen, you have the following options:

  1. Add Table - You can add additional tables to the current location

  2. By clicking on the top right corner of the table you will have the following options:
    2.1 Edit table time
    2.2 See all meetings
    2.3 View booked time
    2.4 Delete

  3. Select how many tables you want to see on 1 page

Edit Table Time

Once you click on the edit table time, you will see the following screen:

The default time trigger means that the table is available during all hours the Location is available. (This is enabled by default for all tables).

In case you want to limit the time on a particular table or add additional time, you need to unclick Default time, select the date, and indicate additional hours (this has priority over Zone settings)

Do not forget to click on the green checkmark to save!

If the current table already had meetings scheduled, and you then change the time so that some of the existing meetings do not fit in the new time frame, these meetings will be automatically canceled

See all meetings

This block displays the date and time of a meeting, both participants of a meeting with basic information (photo, first and last name, job title and company for Participants and exhibitor logo, name, country, and city if that exhibitor has no team members).

It also contains the Admin who created this meeting (if created by Admin) and provides controls in the three-dots menu – Confirm, Reschedule, and Cancel. If the Admin is trying to Confirm a meeting for a time slot that already has another Confirmed meeting, a popup suggesting rescheduling will shown.

View Booked Time

This block shows a popup with dates and time slots that have been booked for this table.

  • Dates - only those that are set for zone/table.

  • Time slots – only those that are set as available for meetings.

  • If a time slot is booked – it shows the Booked status.

Filters

Tables inside of the location can be filtered by:

  • Time slot: All, Available, Booked

  • Date & Hours: when the table is available
