Show exhibitor stand location

Feature Purpose:

This feature will allow users to book meetings at an exhibitor's stand.

Working with this Feature:

The feature "Show Exhibitor stand location" can be turned on for regular meetings in the admin panel >> Networking & Matchmaking >> Meetings >> Settings.

Enable the "Show Exhibitor Stand Location" option. Once enabled, the "Exhibitor Stand" location will be available for regular meetings with exhibitors or team members who have a stand assigned to their exhibitor account.

On front-end, the users will be able to select the option "Exhibitor Stand" when requesting a regular meeting.

Troubleshooting:

  1. Issue: The "Exhibitor Stand" location is enabled, but users do not see the stand when requesting a meeting.

    • Solution: Ensure that the exhibitor has a stand assigned to their account. Verify the assignment in the admin panel.

    • Ensure that a Regular Meeting has been selected

  2. Issue: The "Exhibitor Stand" option is missing from the meeting request form.

    • Solution: Confirm that the "Show Exhibitor Stand Location" feature is correctly enabled in Networking & Matchmaking > Meetings > Settings. Refresh the page or clear the browser cache if necessary.

  3. Issue: Meetings booked with "Exhibitor Stand" as the location do not update when the exhibitor's stand is later assigned.

    • Cause: When a user selects "Exhibitor Stand" as the meeting location, it is saved as a static label — not a dynamic reference to the exhibitor's stand data. If the exhibitor had no stand assigned at the time of booking, the meeting location has no link to the actual stand record.

    • Result: When a stand is later assigned (manually or via API), existing meetings are not updated. Only meetings booked after the stand is assigned will correctly display the hall/stand number.

    • No workaround exists for retroactively updating meeting locations in this scenario.

    • Prevention: If accurate stand locations in meetings are important for the event, ensure exhibitor stand data is fully loaded into the platform before the meeting booking window opens.
