Meeting auto-confirm

Overview

The “Meetings autoconfirm“ setting is located in the admin panel at /admin/appointments. When this toggle is ON, then all Pending and Incoming meetings become confirmed and the “Pending” and “Incoming” statuses disappear from the My/Team meetings page.

How limitations work for regular meetings

When autoconfirm is turned on:

  • Pending limits are not factored in for any meeting side

  • Confirmations limits are counted for the side of meeting receiver

  • During reschedule of pending meeting – category limits should not be applied

  • During reschedule of confirmed meeting – category limits should not be applied

When autoconfirm is turned off:

  • Pending limits are counted for the side of meeting initiation

  • Confirmations limits are counted for the side of meeting receiver

  • During reschedule of pending meeting – category limits should not be applied

  • During reschedule of confirmed meeting – category limits should not be applied

Table meetings should have the same limits logic as regular offline/onsite meetings.

Meeting autoconfirm for participant category

There is a toggle “Meeting autoconfirm“ in the admin panel in the participant category settings pop-up.

When the toggle is ON, automatic confirmation of created meeting requests by this participant category is enabled, which means that the Pending meeting status will be hidden for users in this category.

If a participant already has pending meetings, then we don’t hide the “Pending“ status and don’t transform pending meetings into “Confirmed”. We only hide the “Pending“ status after all pending meetings are accepted or cancelled.

The rescheduling process works with autoconfirmation only if the reschedule is initiated by a participant for whom autoconfirmation is turned on. Rescheduled meetings where the initiator is not someone for whom autoconfirmation is turned on go to Incoming status and have to be confirmed or declined by the participant.

The General autoconfirm setting at /admin/appointments is more important and when it is ON, it supercedes participant category level autoconfirm rules.
