Curated Meeting Wizard

Feature Purpose:

The Meeting Wizard feature in the Admin Panel helps event organizers and administrators efficiently manage participant and exhibitor meetings. It provides a structured interface for viewing profiles, filtering participants, and setting up meetings.

Working with this Feature:

  1. Enabling the Meeting Wizard

  • Navigate to the Admin Panel → Module Management.

  • Locate the “Meeting Wizard” toggle in the backend settings.

  • By default, this feature is disabled and must be manually enabled.

  1. Accessing the Meeting Wizard

  • Once enabled, an action button “Meeting Wizard” appears in the Participants and Exhibitors pages (both in list view and inside individual profiles).

  • Clicking this button opens the Meeting Wizard page for the selected account.

  1. Meeting Wizard Page Contents:

  • Participant Photo / Exhibitor Logo

  • Profile Details

  • Registration form tabs (collapsed by default).

  • For Exhibitors: An additional section “Point of Contact”, which contains all fields from the “Contact Person” block.

  • Advanced Filters & Search

  • Search is applied based on First Name, Last Name, Email, Company, and Job Title.

  • List of Profile Cards

  • Profile cards follow the same design as Matchmaking cards on the frontend but with additional filtering and manual search options.

  1. Profile Cards Include:

  • Participant Photo / Exhibitor Logo

  • Participant Category / Exhibitor Tags

  • Exhibitor tags appear only as text (no images).

  • If tags are too long, they are truncated with ”…”, and full details are shown on hover.

  • % Match (relevance based on matchmaking criteria).

  • Profile Creation Date

  • Profile Completion Date

  • A new field indicating when the profile reached 100% completion.

  • Action Buttons:

  • Show the Details: Opens a pop-up with expanded profile details and three action buttons:

  • Favourite

  • Setup Meeting

  • Send Profile

  • Favourite Button: Marks/unmarks the user as a favorite.

  • Setup Meeting Button: Opens a pop-up for selecting a Table Meeting or Regular Meeting.

  • Send Profile Button: Sends an email with the profile details.

  1. Favorite / Unfavorite Functionality

  • When a user is favorited, both parties receive notifications:

  1. The user for whom the wizard is launched gets:

  • “user_name was added to your Favorites by admin_name”

  1. The favorited user gets:

  • “You were added to Favorites of user_name by admin_name”

  1. Setting Up a Meeting

  • When clicking Setup Meeting, a pop-up appears asking whether to create a Table Meeting or a Regular Meeting.

  • Meeting type availability depends on Module Management (MM) settings:

  • If Table Meetings are disabled but Appointments are enabled: Directs to Regular Meeting setup.

  • If Table Meetings are enabled but Appointments are disabled: Directs to Table Meeting setup.

  • If both meeting types are disabled: The Setup Meeting button is not displayed.

  1. Sending a Profile

  • Clicking Send Profile triggers an email to the selected user.

  • The email contains profile details and is based on a predefined template.

  • Related email templates:

  • “Send Participant Profile”

  • “Send Exhibitor Profile”

  • These templates use system and custom fields, along with variables admin_name and admin_email.

Troubleshooting:

  1. Meeting Wizard Button Not Visible

  • Ensure the “Meeting Wizard” feature is enabled in Module Management.

  • The button is only visible inside Participant and Exhibitor pages.

  1. Profiles Not Appearing in Search

  • Make sure the search terms match First Name, Last Name, Email, Company, or Job Title.

  • Try adjusting filters to refine the search results.

  1. Unable to Send Profile

  • Check if the correct email template is set up in the system.

  • Ensure the user’s email address is valid and not blocked.

  1. Setup Meeting Button Missing

  • If both Table Meetings and Regular Meetings are disabled in Module Management, the Setup Meeting button will not appear.

  • Adjust settings to enable at least one meeting type.
